How to check email disk space usage in SmarterMail

When you are unable to receive email (incoming email is rejected/bounced), you may be over your domain's email disk space quota. The Primary Domain Administrator email address ("[email protected]" by default) should get a notice saying "the domain size limit has been exceeded and emails are currently being rejected." You will receive a similar warning if an individual user exceeds their quota. More information on the Primary Domain Administrator.

To determine how much email disk space is allotted to your domain:
  1. Log in to the DiscountASP.NET Control Panel.
  2. Click the "SmarterMail Manager" link on the left.
  3. In the "Domain Name", "Email Status", etc. box, look at the section labeled "Email Disk Space." The number next to "Total Purchased" is the amount of total disk space you can use for email storage. If you exceed this, email sent to any address on your domain will be rejected.
  4. You will also see a "Total Usage" entry, but that number is not completely accurate. You should always check the disk space usage in the SmarterMail interface.

To obtain the most accurate measurement of the amount of email disk space you are using, there is a report in SmarterMail that checks both the quota limit for the individual email accounts in your domain and whether you have exceeded the email disk space quota for the entire domain.

To access the usage report:
  1. Log in to the DiscountASP.NET Control Panel.
  2. Click the "SmarterMail Manager" link on the left.
  3. Click the "SmarterMail Management Login as Primary Admin" link. You will be logged in as the Primary Domain Administrator.
  4. Click the "Domain Reports" icon at top (the icon that looks like a bar graph with globe).
  5. Click on "Disk Usage."

The number under Disk Usage is how much space is currently being used by the email messages in the account. The Disk Space Limit represents the quota limit for that account. The total in bold under Totals represents the total amount of space used in your domain. You can ignore the total in Bold under Disk Space Limit, but instead pay attention to the disk space number you previously obtained from the Control Panel to see if you have exceeded the total amount of space for your entire domain.

Note that SmarterMail will allow you to set user quotas that total more than the total physical disk space you have available to your domain. So when setting user quotas, make sure that you haven't exceeded the amount of email disk space allotted to your account.

For instructions on increasing individual user quotas, see this Knowledge Base article.

To free up space in your email inbox(es), you can delete email messages. Make sure that the messages are also deleted from the "Deleted Items" folder or they will still take up the same amount of space. See this Knowledge Base article for an explanation.

You can also purchase more email disk space to remedy the problem:
  1. Log in to the DiscountASP.NET Control Panel.
  2. Click the "Order Addons" link in the left side menu.
  3. Scroll down to "Additional Email Space". Click "Order Email Space: Click Here."
  4. Select the amount of space you wish to add to your account from the drop-down box on the left. Then click the "Order More Email Disk Space" button. Note that you will not immediately see the increase in disk space. Our billing department will provision your disk space within 24 hours.
